We ask for only what we need to help you well, and we look after it carefully. This policy explains what we collect and why. Sway is the data controller, reachable at hello@swaystudio.co.uk or by post at 39 Barnwell Road, London SW2.
What we collect
When you fill in a form or book with us, we collect your name, email, phone number and postcode. If you become a client, we hold the health and movement notes you share so your coach can train you safely. We also collect basic, anonymised analytics about how the site is used.
Health information
As part of your assessment we ask a short health-readiness questionnaire (a PAR-Q), along with movement, posture and lifestyle notes. This is special-category health data, which we only ever collect with your explicit consent and use solely to keep you safe and tailor your training. It is visible only to you and your coach, stored securely in our access-controlled systems, and never shared for marketing or sold. The assessment is a movement & wellbeing screening, not a medical diagnosis. You can withdraw consent and ask us to delete this information at any time.
How we use it
We use your details to reply to you, to schedule your assessment and sessions, to match you with the right coach, and - only if you have asked - to send you our newsletter. We do not sell your data, ever.
Lawful basis
We process your information to take steps you have asked for and to perform our service (contract), to run Sway responsibly (legitimate interests), and, for the newsletter and any health information, with your consent. You can withdraw consent at any time.
Who we share it with
We rely on a few trusted providers to operate: Stripe for secure payments, an email provider for our correspondence and newsletter, and privacy-respecting analytics to understand site usage. Each handles your data only on our instructions, and only as far as their part of the service requires.
Cookies and analytics
We use a small number of cookies to keep the site working and to gather anonymised analytics. You can refuse or clear cookies in your browser at any time; the site will still work.
How long we keep it
We keep enquiry details for up to 24 months, and client records for as long as you train with us plus a reasonable period afterwards for our records and obligations. After that, we delete or anonymise them.
Your rights
You can ask to see the information we hold, correct it, have it erased, or object to how we use it. Write to hello@swaystudio.co.uk and we will respond within a month. You also have the right to complain to the UK’s Information Commissioner’s Office, though we hope you will come to us first.
